The successful candidate will have a strong work ethic, fantastic organizational and time management skills, and a desire to be an integral part of a team!Reporting to the Lead, Stakeholder Engagement and Events, the Partner will conceptualize and manage the planning, administration, and logistics for various local, regional, and international Foundation events. This role provides outstanding customer service to clients for all events and strong collaboration with internal communications.Stakeholder Engagement and Events Partner Duties & Responsibilities:
- Develop creative concepts for signature global events that align with and support the Foundation’s brand.
- Develop and implement high-impact events designed to create strong engagement, emphasizing intellectual content such as guest speakers.
- Manage venue negotiations, book event spaces, arrange food and beverages, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor to meet the quality expectations of the Foundation.
- Understand audience needs and interests; define metrics to evaluate events against desired outcomes and incorporate findings into ongoing event strategy.
- Research venues, coordinate and conduct site visits, and identify resources to help staff decide about event possibilities.
- Create room layouts for each event and propose new ideas to improve the planning and implementation process.
- Prepare collateral materials such as nametags, invitations, signage, welcome packages, registration lists, seating cards, etc.
- Collaborate with the Corporate Communications team to enhance social media and online strategies for programs and events.
- Manage and assist with on-site production and cleanup for events, as necessary.
- Conduct post-event evaluations and incorporate findings into ongoing event strategy.
- Assist with developing periodic reports for the Head of Stakeholder Engagements and Events.
- Serve as liaison with vendors on event-related matters.
- Keep track of event finances, including cheque requests, invoicing, and reporting.
- Prepare detailed budgets and timelines for each event and provide periodic progress reports.
Stakeholder Engagement and Events Partner Qualifications:
- 7+ years’ experience managing mid- to large-scale events.
- Experience and knowledge to create high-impact events.
- Consummate professional with excellent customer service skills.
- Enthusiastic professional who can develop strong relationships with internal and external stakeholders.
- Strong organizational skills with excellent attention to detail.
- Ability to prioritize and coordinate tasks while remaining adaptable and flexible.
- Ability to manage multiple projects simultaneously while being flexible and adaptable.
- Ability to work quickly, accurately, and collaboratively to meet deadlines.
- Ability to travel internationally and work occasional evenings and weekends.
- Ability to work independently and as part of a team.
- Ability to accomplish projects with little supervision.
- Ability to accomplish goals through formal and informal channels, with diplomacy and tact.
- Demonstrated high confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.
- Possess professional maturity, sensitivity to different cultures, and impeccable integrity that exemplify the Foundation’s values.
- French speaking is an added advantage.
- Computer proficiency – ability to use the latest versions of Microsoft Word, Excel, PowerPoint, Adobe Acrobat, etc.
- Possess excellent verbal, written, and presentation skills with the ability to articulate information to a variety of constituents across cultures.
