Further information on the department can be found at www.ualberta/ca/surgery.Position SummaryThis Medical Education Program Administrator will work in the Postgraduate Office of Surgical Education, coordinating a postgraduate residency program under the leadership and direction of the Team Lead & Surgery Program Director.This position works both independently and within a team structure to administer the many detailed tasks and projects required of this position. This position requires high levels of communication, organizational and interpersonal skills. Equally important, the individual in this position would have the ability to take initiative, be creative and thrive in a deadline-driven environment.Duties

  • Primary contact and resource for the residency training program residents & faculty
  • Primary contact to liaise with the Postgraduate Medical Education Office (PGME), the Professional Association of Residents of Alberta (PARA) and the Royal College of Physicians and Surgeons of Canada (RC)
  • Responsible for coordination of educational activities and clinical rotation scheduling for residents
  • Responsible for program schedules including preparing resident training block schedules, electives, vacation/leaves, and coordination of teaching faculty/preceptors.
  • Maintains systems of evaluation processes; including compiling data, collecting and disseminating reports and documents
  • Coordinates & attends Residency Program Committee (RPC) and Competence Committee (CC) meetings, prepares agendas, reports and documentation with the Program Director and CC Chair
  • Coordinates annual Resident Recruitment through the Canadian Medical Graduate Selection process (CaRMS)
  • Coordinates examination processes; schedules, proctors & prepares materials for exams, recruits examiners for oral & simulation-based exams. Collates and tracks exam results
  • Coordinates Resident Research days, retreats and other educational activities
  • Makes Purchases, monitors, tracks and reconciles educational grant monies
  • Primary contact/resource for accreditation process for internal reviews (University of Alberta) and external reviews (Royal College of Physicians and Surgeons of Canada)
  • Ensures Royal College accreditation standards are being met in day-to day operation and residency program committee functions
  • Maintains residency program websites & communication

Minimum Qualifications

  • Minimum, post-secondary business, office administration certificate or a related field
  • Minimum 2 years’ experience in large academic, health care or similar organization
  • Proficiency with MS Office and Google Applications
  • Excellent interpersonal and communication (oral and written) skill including strong ability to demonstrate professionalism, confidentiality and diplomacy
  • Strong organization skill, accuracy and attention to detail

Preferred Qualifications

  • Post-secondary degree in a relevant discipline preferred. Equivalent combination of education and experience will be considered
  • 3-5 years’ experience in a medical or academic environment with extensive involvement in post-secondary educational procedures at an administrative level would be ideal
  • Experience with Zoom and various virtual platforms an asset
  • Knowledge of University of Alberta and University of Alberta Hospital
  • Experience with PeopleSoft an asset
  • Experience with University of Alberta polices and process and employment legislation (FOIPP, Employments Standards) will be considered an asset
