This role combines[CS1] executive assistance with contract administrative duties, requiring a diverse skill set and the ability to manage multiple responsibilities efficiently in a fast-paced environment. Join our team today as we are currently hiring an Legal Administrator based in Dartmouth, NS.Primary Duties and Responsibilities:
- Provide basic administrative support, including answering calls, photocopying, and filing
- Coordinate incoming and outgoing mail with discretion and confidentiality
- Manage calendars for senior leaders (including the President, CFO, and VP HR & Risk), arranging appointments, meetings, and optimizing schedules
- Coordinate and communicate travel arrangements for the senior leadership team
- Work independently and within various business groups to address issues promptly
- Prepare various reports, correspondence, and internal communications
- Provide invoicing support and administration within the Loss Control department
Contract Administration:
- Coordinate review and execution of contracts
- Maintain contracts database and monitor renewal cycles
- Other support for contract administration as required
- Lead debt collection efforts, particularly in Ontario and Alberta
- Prepare litigation materials in response to undertakings
- Coordinate swearing of affidavits
- Support corporate insurance renewals
Qualifications and Experience:
- Post-secondary education in a related field is required
- A minimum of 2 years of administrative and/or paralegal experience
- Previous experience within an administrative or executive assistant role would be considered an asset
- Working knowledge with Microsoft Office (Word, PPTX, Excel)
- Ability to work collaborative and build relationships with individuals across the organization
- Strong communication skills – verbal and written
- Excellent organization and time-management skills
- Well organized, detail oriented and a proven ability to work well in a fast-paced, deadline driven environment
- Ability to work effectively with minimal supervision
- Critical thinking, problem-solving and analytical skills required
