As a result, we are continuously licensing and/or acquiring new products and solutions aimed at addressing the essential needs of consumers, patients, and health care partners.Role OverviewReporting directly to the Chief Financial Officer, the Executive Assistant will provide comprehensive administrative support to the corporate executive team and the board of directors. This role involves assisting the entire executive team with a wide range of tasks, including administrative duties, coordination of activities, and expense management. The Corporate Executive Assistant ensures seamless operations and helps the executive team focus on strategic priorities by efficiently handling their day-to-day administrative needs.Key Responsibilities· Executive Team Support

  • Coordinate and manage the executive team’s calendar, scheduling meetings, appointments, and events. Ensure there are no scheduling conflicts and prioritize engagements based on importance and urgency.
  • Coordinate and schedule in-person and virtual board meetings and help finalize board reporting packages.
  • Coordinate and schedule investor meetings.
  • Attend meetings as requested to take detailed minutes, summarize key points, and follow up on action items.
  • Prepare and distribute meeting agendas and materials in advance.
  • Draft, edit, and prepare letters, memos, invoices, reports, and other documents for senior staff.
  • Arrange travel itineraries, accommodations, and transportation for the corporate team, ensuring all logistics are handled smoothly.

· Office Administration

  • Provide high-level administrative support for the organization, maintaining organized and efficient operations.
  • Maintain accurate and up-to-date records and filing systems. Ensure compliance with internal controls and document retention policies.
  • Produce regularly scheduled reports, ensuring accuracy and timeliness.
  • Plan, organize, and coordinate corporate events, meetings, and conferences.
  • Prepare and distribute communications from the corporate team to relevant stakeholders.

· Expense and Budget Management

  • Manage and process expense reports for the executive team, ensuring adherence to company policies.
  • Assist in the preparation and monitoring of budgets, providing regular updates and reports to senior management.
  • Reconcile credit card statements and prepare monthly expense reports.

Education, Experience & Skill Requirements· Bachelor’s degree in business administration, Communications, or a related field preferred.· Minimum of 5 years of experience in an executive assistant or similar role, supporting senior executives.· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)· Strong written and verbal communication skills in both English and French· Excellent organizational and multitasking abilities· Familiarity with virtual meeting platforms (Zoom, Microsoft Teams, etc.)Additional Information· Salary range: $75,000- $100,000Medexus Pharma is an Equal Employment Opportunity Employer.
