Job description: Reporting to the Principal Investigator, the Training Coordination Officer will be responsible for supporting the coordination and planning of Dallaire Institute’s domestic and international programmatic work, in particular training workshops. The position will support planning, coordination, knowledge management and logistics for training activities across multiple projects in multiple countries and will work with a diverse network of training facilitators around the world. It will also contribute to the maintenance and development of the Dallaire Institute’s roster of trainers and related engagement activities.
Key Responsibilities

  • Act as a point of contact for trainers during preparation and throughout the training and provide them with all necessary training materials and information in consultation.
  • Ensure all training documentation (reports, evaluation forms, participant lists) is collected within the assigned reporting period of each training activity and filled appropriately, producing and updating procedural documentation, templates, checklists, forms and other guidance relevant to training coordination.
  • Develop, maintain and regularly disseminate a Dallaire Institute training calendar through regular communication with Dallaire Institute colleagues
  • Act as the liaison between external consultants, the Operations Team and other colleagues on matters related to contract establishment and payment of invoices to ensure that all contractual matters are resolved in a timely matter.
  • Oversee the selection, engagement, and costing of consultants/training facilitators, ensuring they are well-prepared and supported.
  • Provide support to Project Leads on project monitoring and reporting in relation to training (for example by providing numbers of people trained, number of trainings, training locations, etc.).

NoteHybrid role: The successful applicant will be eligible for hybrid work (a combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications

  • Undergraduate degree in international development, political science, education, management or another discipline related to the core functions of this position;
  • Experience related to training/event coordination project management or knowledge management;
  • Excellent organizational and multitasking skills, with demonstrated ability to work within tight deadlines and under pressure with a high level of attention to detail and the ability to creatively problem solve and anticipate challenges.
  • Proficiency in Microsoft Word and PowerPoint;
  • Ability to demonstrate sensitivity, respect for diversity, emotional intelligence, confidentiality, tact, diplomacy, and ability to get along with various levels of personnel in an organization;
  • Strong verbal and written communication skills in English.

Assets

  • Certification or qualification in project management.
  • Professional working proficiency in other languages, especially French and Spanish will be considered an asset.
